Title: UCET Christmas Party 2022

Hi everybody.

As you are probably aware I have been charged with organising this year's UCET Christmas Party.  The date for that which is now set in stone is Saturday 3rd December and Doug is letting me use the old Huntsman's Pub in Whitford for the venue, location is 53.2932739,-3.2818853 NGR SJ146781.  The start time will be between 18:00 and 19:00 that evening until late.
Bearing in mind the cost of living these days I plan to keep the cost low, no more than £20:00 per person, price to be fixed later.  At the moment I will be looking at how many will be interested in attending.

There are some rooms at the Huntsman, you will need to provide sleeping bags/bedding if you are stopping overnight.  I know there is no bar but I will be providing plenty of booze plus soft and 0% ABV drinks.  As for seating I can provide some chairs plus a table.  There is a kitchen I can use so I hope to supply some hot food as well as party snacks.
As for music I recently bought a couple of active speakers to go with my laptop computer and I am working on a music selection for the night starting with a selection of Christmas trax to begin with followed by a general music mix then some more lively music for later.

I am sorry Greg but you need to be a bit more positive, I do not think you have put enough thought into this there is now 100 members if you take half of the club with there partners thats 100 and you will not get that amount of people in the huntsman people will be tripping over each other and people need to sit down, I think you should change the venue now before it falls apart, a bit of advice from mick the club has standards.

Unfortunately getting a another venue will be difficult.  I have considered Stamford Gate, a venue which we have used before but that involves sharing with other groups.  I also checked out the Britania but you couldn't swing a cat in their function room.  Could try the Glan yr Afon but again space will again be a problem.  I still consider Doug's offer of letting me use the Huntsmans the best bet at the moment.  I have been along to a couple of UCET Christmas do's and we only had about 30 - 40 turn up.  As for music and noise I may have to consider a curfew on it as so not to p**s off other people in Whitford, plus there is the parking of vehicles to consider.  I already have a couple of people not planning on coming along and some of our members live a long away from north Wales not to mention that some of them are involved with other caving clubs and they may have their do's that same weekend.  I am not working next Thursday night so I will be able to come over to Wales to sort out issues.  I also have the first week in October off from work so that will give me some time.  This is the first time I have done something like this and there is a first time for everything.

I'd prefer an official venue even if it meant sharing with another group personally, but also Gregg when you get a chance to phone about for availability, pricing and menus you can think of surrounding areas like Northop and Mold too

I'd prefer a proper venue with a sit down meal. Flintshire is a big area with some great venues. I really hope you can sort this for our members Greg

I am aware of the logistics of organising a Christmas party and I am also aware that I will not be able to satisfy everyone as people have different needs.  First of all I have been offered a venue but I will enquire at the Stamford Gate and other hotels in the area to see what availability they have for December 3rd.

I am considering taking on the cost myself.  I always felt that after being invited to (or gatecrashing!) many parties in the past it is time I gave something back.  After all Doug does not charge for the annual hogroast and he is offering me use of the Huntsmans for free.
Just sent an enquiry to the Stamford Gate as regards a sit down meal especially as we have used that venue before and had a great night.  I will also ask at the Glan yr Afon.

Thanks for the feedback.  As many of you prefer a sit-down meal, I e-mailed the Beaufort Park Hotel near Mold where they may be able to fit us in.  Here is their response:

I was a bit worried about some people having to travel to the venue and especially getting home.  I will go with Beaufort as my first option but will still need a Plan 'B' (after which there are only 24 letters left in the alphabet!).  I have been trying to phone the Beaufort but there's nobody at the desk at the mo so I am going to send them an e-mail saying I am interested.

I'd be happy with there also and probably a plus one for me, see if Ian can get a circular sent out perhaps to ask members to comment if they and a partner may join so you can get an idea of numbers, include a deadline on it but a note to say can possibly add on people at later dates perhaps

Further update on the situation:  Stamford Gate has just got back to me saying that can accommodate us on Dec 3rd.  Here is their response:

It looks like I have got two choices for a Christmas venue (three if I include Doug's old pub!).

Therefore I need to know which booking I need to make and therefore would like a bit of feedback:

1.  The Beaufort Park Hotel, Mold,
    They will fit us in a Christmas Party Night on Dec 3rd with three course meal and disco.
    You may need to make travel/accommodation arrangements with that venue.

2.  The Stamford Gate Hotel, Holywell.
    We have used the Stamford on a previous occassion and had a great night there and the advantage
    with that venue is that it is within walking distance from the Glan-yr-Avon.

Looks like the Beaufort Park Hotel will be the best option.  I will make a booking for 60 people tomorrow unless that's too many.  I am basing this on one third of our members attending plus partners.  I have been told that the cost per person will be £32.00

Just managed to get through to the Beaufort Park and they said that they will be able to hold 50-60 places for me until next Thursday when I will be in the area.  Need decision by then regarding whether it is going to be the Beaufort or Stamford Gate.  :unsure:

I will give Beaufort Park a ring tomorrow to book 50 places.  I will be visiting the Hotel on Thursday to check it out and will be over at the Glan later.  Somehow I think I will be giving Maeshafn Mine a miss!  If you think I should book more places let me know.

Just had a look on the forum regarding the chatter about last year's Christmas party organised by Sam and held at the Glan.  According to the post on page http://www.ucet.org.uk/index.php?option=com_kunena&view=topic&Itemid=191&catid=9&id=10952&limitstart=120 there were 23 people attending.  Don't forget we were still having problems with COVID then and First Minister, Mark Drakeford was threatening to kibosh everything and as a consequence some people may have been put off.  I don't want to book too few seats otherwise people will be disappointed but on the other hand I don't want to book too many either.  I hope to see the events organiser at the Beaufort on Thursday and see if I can book say 40 seats with the option of booking more later if there is demand.

Awesome news everybody.  I have booked 50 spaces at the Beaufort Park Hotel for their Christmas Party Event on Saturday 3rd December.  Deposit has been paid and I need to make the full payment by 23rd November.  Cost per person will be £32:00 and includes a three course sit down meal and disco.  Event starts at 19:30 GMT and finishes at midnight.  There is a bar, The Arches so we can get there in plenty of time and there is ample car parking.  I have booked a room at the hotel for the night and I will enquire how many rooms there are left if anybody else wants accommodation.  I can also enquire about accommodation nearby.
I will post the menu on here shortly.  Dress code is smart casual, no trainers.

Maeshafn's not one of my favourites and I am in no hurry to go back in there again so I will not be on that trip. As for stopping ove in my car I am not sure about parking up in Maeshafn village or at the Crown so I will be at the Glam instead and see if anyone turns up.  No one bothers me if I park overnight on the lane outside the Glan.

Actually, they have a big car park and won't know if I'm staying or have just abandoned the van there for the night...
All the other dinner venues we have used have been fine with people sleeping in their vehicles. If they want our business they will have to accept it, as they can't make me drive if I'm over the limit...

Got 28 people, including myself coming along so far.  Still 22 places available.  I will be on the Garreg Boeth trip on Thursday so I can visit the Beaufort then and see if I can get hold of the Christmas menus.  Apparently you do not have to pre-order, you can make your choice on the night but if I can get an idea of what people wants for starters, mains and dessert and pass the info on, it should make the job easier for the chef and save time.
I do not have to make the final payments for another six weeks so there is still time.

Went to pick up the menu for the Christmas Party events from Beaufort Park Hotel yesterday before our Garreg Boeth trip.  We do not have to pre-order, the waiters will take the order on the night.  I thought it will help save time on the if people can decide now.  So far I have got 34 people coming at the moment so things are looking good.  Doug say he will be coming now.  Find attached the menu here.

Things are looking great here.  I have so far (including myself) 40 people going out of 50 spaces booked.  I said that I was going to be happy if we reached that figure but there are still ten places going.  I want to make the final payment at the Beaufort at the weekend of 19-20 November so there is still some time.  I will be having a sesh at the Glan this Thursday and I will bring some copies of the menu along and I will also enquire about vegetarian and vegan options at the Beaufort.  You do not have to pre-order your choices, that can be done on the night but if I can get some idea of what people want then hopefully it will save some time on the night.

As the payments are being taken through the club account I do not have record of those who have paid.  I was going to handle payments through my own account but when the circular went out via e-mail details of the UCET account and PayPal was used and I will have to get the monies transferred over from the club account to mine after I make the final payment.  By the way does anybody know if Adrian Morris (Treasurer) is coming along?  I have 39 names down so far but am planning on allowing for an extra couple of places to allow for any errors and also the possibility that members who do not use this Forum or Facebook or they are not friends with me on the latter have decided to attend.
Doug Thompson and Mark Robinson+Friend have paid me in cash at the Glan.
However the following people haven't told me if they have paid yet:  Dave Jones + Amanda Rowe.
I have been taking peoples word for it if they say they've paid.  I will try and get in touch with those who have yet to say they've paid.
I will be at the Glan next Saturday night when I come over to settle up at the Beaufort but I will not be able to make a club night until Thursday December 1st unless I am involved in industrial action at work the Thursday before in which I will be able to come along.
I am publishing an up-to-date list of those who said they are coming.  Just updated again, Steve Tate unable to attend.

Hi everybody, I have just made the final payment for the Christmas do on Saturday 3rd December.  Got 40 people confirmed as coming and I am thoroughly looking forward to the big night in two week's time.  I will be posting details of the menus on here again.  You make your decisions on the night.  I will also let you know about the vegan options.
As I have been running early today I have decided that I will not be spending tonight at the Glan.  Got plenty of time to get over to the Yorkshire Dales and have a few jars at Helwith Bridge tonight instead.

May see you on Thursday for Spar Mine depending on circumstances at Work  :cheer:

Got 41 people coming, a brilliant result.  If anybody else wishes to attend then they will have to go onto a reserve list as the final bookings and deadlines have been reached but there is the liklihood that some people may not be able to make it.

I will be over at the Glan tomorrow night.  I have printed out some menu tick sheets so people have the opportunity to make their choices then, and of course I need to sort out the vegan options.  Would like to let the chef at the Beaufort know as ASAP what people want in order to save time but as I have mentioned that you can still leave it until we are sat down on Saturday night to make our choices.  I would not want a situation where some people are finishing their desserts while others are still waiting for their starters!
